Privacy Policy

We're upfront about how we handle your info - no hidden agendas, just straight talk about data protection

Overview

Look, we get it - privacy policies can be a snooze-fest. But here's the deal: at Iron Flare Verse Architecture, we're pretty serious about keeping your personal information safe. We're not in the business of selling data or doing anything sketchy with what you share. This policy breaks down exactly what we collect, why we need it, and how we protect it.

We operate out of Toronto, Ontario, and we follow all the Canadian privacy laws - including PIPEDA (Personal Information Protection and Electronic Documents Act). If you're reaching out to us about a project or just browsing our work, this policy applies to you.

How We Actually Use Your Info

We're not collecting data just for fun - there's real purpose behind it. Here's what we do with the information you share:

Client Communication

Responding to your inquiries, scheduling site visits, sending project updates, and keeping the conversation going about your architectural needs. Pretty straightforward stuff.

Project Development

Creating proposals, developing design concepts, coordinating with contractors, and managing all the moving parts of bringing your vision to life.

Legal & Administrative

Contracts, invoicing, maintaining project records, and meeting all those professional obligations we've got as a licensed architecture firm.

Website Improvements

Figuring out what's working on our site and what's not - so we can make it better for folks like you who are checking out our work.

When We Share Data (And When We Don't)

We're pretty protective of your information. We don't sell it, rent it, or hand it out like candy. But there are a few situations where we might need to share some details:

Project Collaborators

Engineers, contractors, and consultants who're working on your project need the relevant info to do their jobs right.

Service Providers

Our hosting company, email service, and cloud storage - they help keep things running but they're bound by confidentiality agreements.

Legal Requirements

If we're legally required to disclose info - like court orders or regulatory compliance - we've gotta comply.

With Your Permission

If we want to feature your project in our portfolio or marketing, we'll always ask first and get your explicit okay.

Cookies & Tracking Tech

Yeah, we use cookies - but not the delicious kind. These are small files that help our website remember you and work better. Here's what's happening behind the scenes:

Essential Cookies

These keep the site functional - like remembering your language preference or keeping you logged in if we add that feature. Can't really turn these off without breaking stuff.

Analytics Cookies

We use these to understand how people use our site - which pages get the most love, where folks are dropping off, that kind of thing. Helps us make improvements. You can opt out of these if you want.

Preference Cookies

These remember your choices and settings so you don't have to keep telling us the same things every time you visit.

Most browsers let you control cookies through their settings. Just know that blocking some cookies might make parts of the site less functional.

Your Rights Over Your Data

This is your information, and you've got rights. Under Canadian privacy law, here's what you can do:

1
Access Your Information

Want to know what we've got on file about you? Just ask. We'll send you a copy of all the personal data we're holding.

2
Correct Inaccuracies

If something's wrong or outdated, let us know and we'll fix it. We want to keep things accurate anyway.

3
Request Deletion

In most cases, you can ask us to delete your personal information. There are some exceptions - like if we need it for legal reasons or an ongoing project - but we'll honor your request when we can.

4
Withdraw Consent

Changed your mind about receiving updates or newsletters? No problem - you can opt out anytime.

To exercise any of these rights, just shoot us an email at studio@ironflareverse.info or give us a call at (416) 555-0847. We'll get back to you within 30 days.

How We Keep Your Data Safe

We take security seriously - it's kinda like how we approach structural integrity in our building designs. Can't cut corners. Here's what we're doing to protect your information:

  • Encrypted connections (SSL/TLS) for all data transmission
  • Secure, password-protected servers with regular security updates
  • Limited access - only team members who need the info can see it
  • Regular backups stored in secure, encrypted formats
  • Confidentiality agreements with all staff and contractors
  • Secure disposal of data we no longer need

Look, no system is 100% bulletproof - that's just reality. But we're doing everything reasonable to keep your data locked down tight. If we ever experience a breach that affects your information, we'll let you know right away and explain what happened.

How Long We Keep Your Data

We don't hoard data forever. Here's our general approach:

Active Projects: We keep all project-related data for the duration of the project plus 7 years after completion. That's pretty standard in the architecture world and helps with any warranty issues or follow-up questions.

Inquiries & Quotes: If you reached out but didn't move forward with a project, we'll keep your info for about 2 years in case you circle back. After that, it gets deleted unless you ask us to keep it longer.

Marketing Communications: If you've signed up for our newsletter or updates, we'll keep your contact info until you unsubscribe.

Website Analytics: This data is typically aggregated and anonymized, kept for about 26 months to spot trends and patterns.

International Data Transfers

We're based in Canada, and most of our work happens here in Ontario. However, some of our service providers - like our website hosting or email services - might have servers in other countries, including the United States.

When your data crosses borders, it's subject to the laws of that country. We only work with reputable providers who maintain strong security standards and comply with privacy regulations. If you've got concerns about where your data's stored, just ask - we're happy to provide details.

Children's Privacy

Our services aren't really aimed at kids under 16, and we don't knowingly collect information from children. If you're a parent and think your kid has shared info with us, let us know and we'll delete it. Architecture projects tend to be adult stuff anyway.

Changes to This Policy

Privacy laws and our practices evolve over time. When we update this policy, we'll change the "Last Updated" date at the top and post the new version here. If there are major changes that affect how we handle your data, we'll reach out directly to let you know.

It's worth checking back here occasionally if you're curious about any updates. We'll try to keep the language straightforward and honest - no legal jargon just for the sake of it.

Questions? Let's Talk

If you've got questions about this privacy policy or how we're handling your information, don't hesitate to reach out. We'd rather clear things up than leave you wondering.

Thanks for taking the time to read through this. We know it's not the most exciting stuff, but it matters to us - and hopefully to you too.
